Minutes of the Vestry St. Timothy’s Episcopal Church Aug. 21, 2008
Present: Assisting priest The Rev. Kirsteen Wilkinson; Chris Large, senior warden; Sheryl Otter, junior warden; Liz Manning; Judy Champa; Kitty Herndon; Keira Sparrow; Jane Bostwick; Steve Polston; Elaine Braverman; Ed Champa, visitor to the meeting.
Devotion: Judy Champa read the words of Hymn #215 “See, the Conqueror mounts in triumph”. Sheryl Otter will choose a Hymn for devotion for the next meeting.
Call to order: The meeting was called to order about 7:10 p.m.
Approval of minutes from July 17th meeting: Corrections: Keira Sparrow was in attendance. Sheryl motioned acceptance of the minutes; Kitty seconded. The motion was approved on voice vote.
Monthly Financial Review and approval of reports: Chris reported that income is down due to the time of the year. Steve motioned approval and acceptance of the financial reports; Judy seconded. This was approved on voice vote.
Altar Flowers: Kirsteen said that for her questions about the altar flower funds altar guild chair Carolyn Williams will help devise a plan to communicate flower fund collection and reports for Sandee Norcross, parish secretary.
Property commission: a. Air conditioning – Chris said that repair of the air conditioning system cost $890, and that locking thermostat covers need to be installed. b. Bridge repairs – Chris said that our new handyman Joe Lawson is removing the bridge across the ditch. c. Handy man – Chris said that Joe Lawson has been hired as our new handyman. d. Roof repair grant – Marcia Gebuhr, Canon for finance, has notified the parish that its request for a $10,000 grant to repair the roof was approved. e. Food pantry sign – the original United Thank Offering grant may have included money for a sign. Chris spoke about plans for a sign announcing the pantry hours and there was some discussion about signs and how much we can put on the road-side sign. Steve motioned that we should give the senior warden permission to pursue and complete the sign for the food pantry hours; Elaine seconded the motion. The motion was approved by acclamation. f. Phone lines – Kirsteen wondered if there is a phone line in the sacristy and the library. She was advised to check with parishioner Hal Olsen.
Old business: a. Kirsteen’s discretionary fund – Kirsteen said that she has spoken with Treasurer Chuck Nemeth and will get a checking account for her discretionary fund at our bank, as well as draw up guidelines for the sue of the account. Kirsteen was given a $500 gift from St. Alban’s parish when she left last month. b. Gas cards – Kirsteen has 10-$20.00 gas cards to give to people in need. c. Office hour’s signage – Kirsteen and Chris spoke about revising the sign about office hours, which is posted on the south doors. d. Safe – Judy said that she has found no fire/water protection blankets for filing cabinets. She found two different sized safes and will continue to research this. Elaine motioned that Judy and Chris be directed to find and purchase a safe with a good fire rating and a water-protection blanket if possible; Jane seconded this. This was approved by acclamation. e. Parish records – Kirsteen is still collecting parish records of baptisms and confirmations and is nearly finished. f. Episcopal Life mailing list – Chris said that the current mailing list is being reviewed. g. Adult education – Kirsteen said the survey reveals the top choice is Wednesdays at 7 p.m. or Sunday after worship. The vestry agrees that Sundays after worship is best so that the most people may attend and that the time and day could be changed based on the will of the people attending. Kirsteen said that topics include church history, world religions and “what does it mean to be an Episcopalian?” The vestry discussed possible use of the TV sitcom education series and asked Kirsteen to check for free resources from Christian Theological Seminary. Kirsteen will pursue borrowing St. Matthew’s parish’s LED projector for an extended period. The opening forum will be Sept. 21. Nursery staffing will be provided initially by Keira Sparrow. h. “Safeguarding God’s Children” – the Diocesan training program is available online and may be arranged for adults who need to be trained and certified. i. Pastoral care updates – Kirsteen is ascertaining who in the parish needs pastoral visits. The bulletin list of people who we are praying for is periodically purged. The bulletin may be made to be more general, instead of signifying that all those for whom we pray are ill.
New business: a. E-mail address for the church – the new e-mail address is sttimothy.indy at gmail dot com {intentionally skewed to prevent spam from this document} b. Kirsteen’s sermons – these are posted online. c. Office hours – office hours for Kirsteen are subject to change but are generally 10-3 Monday through Thursday. d. Blessing of Animals – Kirsteen said that the Feast of St. Francis is Oct. 4 and we will bless animals and their companions that day. e. United Thank Offering – UTO ingathering is September, to begin Aug. 24 due to the Labor Day holiday. f. Convention delegates and funding – Chris proposed paying the room rate for our delegates, paying for their convention banquet meals and paying for gasoline. Kitty motioned $300 be set aside to pay for this; Jane seconded the motion. This was approved by acclamation. g. Malcolm Boyd video – this will be shown again on Sept, 28. h. CREDO Conference – Kirsteen will participate in the CREDO Conference, a clergy wellness event, Oct. 6-13, 2008, with expenses paid by the Diocesan office and the Clergy Pension Fund. i. Clergy letter to the parish – Kirsteen will write a letter to the parish introducing herself. j. Mission Strategy – Kirsteen will fill these out for the next year. k. Prison ministry – Kirsteen will preside at Eucharist and participate in spiritual formation activities on a regular basis with Deacon Donna Olsen. l. Upcoming events – Jamboree (9/13), Global Missions (9/20), and Deanery (9/22). m. Millennium Development Goals – Sheryl will report on this in October. n. Jamboree Health Fair – Elaine said that she is searching for a replacement activity for the pulmonary functions screenings. o. Controlled burn – Chris said that the city’s Department of Public Works will conduct a controlled burn of a brush pile in the neighborhood on Aug. 24. p. Parish Profile – Kitty and Jane are working on this. q. Newsletter - -Kirsteen asked for contributions of articles.
Adjournment: Steve motioned for adjournment at 8:20 p.m., which was accepted.
